How Much Does Workflow Automation Cost for a Small Business?

By Vibriyogn Epuri · Updated · 3 min read

Short answer

There are two costs: the software and the setup. The software is often free to about $30 a month at small-business volume. Setup either costs your own time, if you build it yourself, or a service fee. At VIBRIYOGN.US each automated workflow is $150 a month, built and maintained, and turning a paper form into an online one is $150 per form. Automation pays for itself when it saves more hours than it costs, which for a form you handle 25 times a week usually takes about a month.

Cost 1: the software

At small-business volume, the main automation tools are inexpensive. As of September 2026:

ToolFree tierTypical first paid plan
Zapier100 tasks/monthAbout $20/month, billed yearly
Make1,000 credits/monthAbout $9/month, billed yearly
Power AutomateIncluded with most Microsoft 365 business plans$15/user/month for Premium
n8nFree to self-hostAbout €20/month, billed yearly
Jotform (online forms)5 forms, 100 submissions/month$34/month, billed yearly

Prices change often, so confirm on each vendor’s pricing page. The full tool comparison explains how each one counts usage.

Cost 2: setup and upkeep

Building it yourself costs time: usually a few hours for a simple automation, plus learning time for your first one. Hiring someone costs money but should include keeping it running. Here are our published prices, the same ones the live estimate builder uses:

ItemPrice
Automated workflow, built and maintained$150 / month each
Paper form converted to an online form$150 each, one-time
Growth plan (includes one workflow, plus marketing)$1,000 / month + $500 setup

The hidden costs

  • Overages. A busy month can push you past your plan’s limit. Know whether your automations pause or start billing extra.
  • Breakage. Apps update, fields get renamed, passwords expire, and the automation quietly stops. Someone has to notice and fix it.
  • Knowledge walking out the door. If the one person who built it leaves, nobody knows how it works. Write down what each automation does.

Does it pay off? Quick math

Say 25 forms come in each week, and each one takes 6 minutes to type up, file and answer. That’s 2.5 hours a week, about 10 hours a month. At $20 an hour, that’s roughly $215 a month in labor, before counting typos and slow replies. A $150-a-month automation that removes most of it pays for itself in the first month. Try your own numbers in the paperwork cost calculator.

My take

“Maintained” matters more than “built.” A cheap automation that breaks silently in month three costs more than it saved, because you find out when a customer calls asking why nobody got back to them. Whether you build it yourself or hire it out, budget for someone to check on it every month.
